A renewal is the one moment a vendor expects a conversation about price. Most founders skip it because they do not have the facts in hand. This is a short plan to get the facts from your own books and usage, ask for the right things in the right order, and leave with the terms in writing.

## Run your numbers

- [Renewal uplift & notice date](https://lopifi.com/md/tools/renewal-uplift): What a renewal price increase costs over the contract, what capping it saves, and the last day to give notice.
- [Annual vs monthly billing](https://lopifi.com/md/tools/billing-cadence): What paying a year up front really costs: the premium for monthly, the break-even month and the interest rate the discount works out to.

## Build the renewal calendar from the books

Your ledger already knows when every subscription renews, if you know where to look. Export twelve months of spend by [vendor](https://lopifi.com/md/glossary/vendor) from [QuickBooks Online](https://lopifi.com/md/savings/how-to/find-software-in-quickbooks) or [Xero](https://lopifi.com/md/savings/how-to/find-software-in-xero). Annual plans appear once; the month they appear is the renewal month. Prepaid schedules show the same dates from the other side: a [prepaid expense](https://lopifi.com/md/glossary/prepaid-expense) that ends in a given month is a plan that ends then.

1. **List and date.** List every software vendor with its annual total and the month the largest charge hit.
2. **Find the notice window.** For each, read the order form or plan page for the term, whether it auto-renews, and the notice period. Store the notice deadline, not the renewal date.
3. **Set the reminders.** Put the deadline in a shared calendar with reminders at 90 and 30 days before it.
4. **Pick your fights.** Rank by annual cost. Negotiate the top few; ignore the rest.

## Bring usage evidence

The strongest thing you can bring is your own number: seats bought, seats active, and what the team actually uses. Pull it from the admin console, as described in [cutting unused seats](https://lopifi.com/md/savings/how-to/cut-unused-seats). Date it and keep the export. A vendor can disagree with an opinion; it is harder to disagree with a list.

## Right-size first, then ask

Cut the seats and the plan tier to what you use before you talk price. If you negotiate on the old quantity, a discount on seats you did not need is not a saving. Once the count is right, ask for the rate on that count.

## What to ask for

Ask for flexibility before price. A vendor may agree to terms that cost it less than a lower rate, and terms often matter more over time than the rate.

- A plan or seat count that matches your usage, and the right to lower the count at the next renewal.
- A shorter term, or monthly or quarterly billing, if you are unsure about the tool. See [annual vs monthly billing](https://lopifi.com/md/savings/how-to/annual-vs-monthly-software-billing) for the cash effect.
- The renewal price for the next term, capped or fixed in writing.
- A longer notice reminder from the vendor, or renewal by manual confirmation instead of automatic.
- Anything you will not use removed from the order form.

## Competing quotes from published prices

Use the published price of a tool that does the same job, with the page and the date you read it. Pricing pages such as Zoom's print per-user rates for each billing period, which makes a like-for-like comparison possible. Compare on your seat count and the same billing basis. Our [savings pages](https://lopifi.com/savings) list published prices and alternatives per app.

Do not exaggerate. A quote you cannot show, or a switch you have no plan to make, is worse than no quote, and the vendor can often tell.

## Get it in writing

A reply email that restates the deal is a record; a call is not. Save it with the order form, update the calendar, and let your bookkeeper know what changed so the [accounts payable](https://lopifi.com/md/glossary/accounts-payable) side matches the new bill.

- The new price, seat count, plan and term.
- The billing cadence and invoice date.
- Renewal terms and the price at the next renewal, if agreed.
- The notice period and how to give it.
- Any credit or concession, and when it applies.

## If you miss the window

Missing the deadline does not mean nothing can be done, but it does mean you are asking, not entitled. Write to the vendor immediately, say what you want, and keep the correspondence. Then fix the process so it does not happen again. See [cancelling without penalties](https://lopifi.com/md/savings/how-to/cancel-without-penalties).

## Limits

We do not state a typical discount, because no source we have read gives one that would hold for your contract. General information, not legal advice; for contract terms, ask counsel.

## Common questions

### When should I start?

Ninety days before the notice deadline, not the renewal date. That leaves time to gather usage, get a competing quote and ask for what you want. Start the work earlier on contracts that renew for a year or more.

### Can I mention a competitor's price?

Yes, if it is true and you can back it up. Use the published price of a real alternative for the same job, with the page and date. Do not invent a quote or imply a deadline you do not have.

### What can I ask for besides a lower price?

Ask for a lower seat count or a plan that fits what you use, for the ability to lower the count at renewal, for monthly or quarterly billing, for a shorter term, and for the renewal price in writing. Not everything is on offer; the point is to ask in an order that costs you nothing.

### What if I missed the notice date?

Auto-renewal usually takes effect at the end of the notice window, not the end of the term. Look at the order form for the notice period and form. If you missed it, ask the vendor anyway, in writing, and see what they can do; then fix the calendar.
