Most software overpayment comes from renewals nobody saw. A one-page register of who you pay, who owns each tool and when you can leave fixes that more reliably than any clever tool. This is how to build it in an afternoon and keep it alive with thirty minutes a month.

## Run your numbers

- [Renewal uplift & notice date](https://lopifi.com/md/tools/renewal-uplift): What a renewal price increase costs over the contract, what capping it saves, and the last day to give notice.

## The columns

Add a tenth column for the annual cost if you like, calculated from the cost and the billing period, so the sheet sorts by what matters. A [vendor](https://lopifi.com/md/glossary/vendor) in your register is the same entity that appears in your [vendor master](https://lopifi.com/md/glossary/vendor-master) in the books; use the same name in both so the two can be matched.

- Vendor: the name as it appears on the invoice and on the card statement.
- Owner: one named person, not a team.
- Job: the work it is hired for, in a clause.
- Cost: the amount per billing period, and the currency.
- Billing period: monthly, annual or multi-year, and how it is paid (card, invoice, bank).
- Renewal date: the day the next term starts.
- Notice window: how many days before renewal you must give notice, and in what form.
- Data location: where the data lives and how to export it.
- Contract link: the order form or the plan page, saved where the team can open it.

## Seed it from your books

Do not type the list from memory. Your accounting software already has the names and the totals. Run the vendor-totals report as described in [find software in QuickBooks Online](https://lopifi.com/md/savings/how-to/find-software-in-quickbooks) or [find software in Xero](https://lopifi.com/md/savings/how-to/find-software-in-xero), for twelve months, and paste the software lines into the register. Those guides cover the click paths; this one does not repeat them.

Then fill the gaps the report hides: tools charged to a card without a payee, annual plans that fell outside the window, and personal accounts used for work. The [chart of accounts](https://lopifi.com/md/glossary/chart-of-accounts) shows where software usually lands.

## Turn dates into reminders

The register is only as good as the reminders it produces. A date in a cell that nobody is paged on is a record of a missed renewal waiting to happen.

1. **Compute the notice date.** Subtract the notice window from the renewal date. That is the date you can still act.
2. **Two reminders.** Create calendar events for the notice date minus 30 days and for the notice date itself. Invite the owner and one backup.
3. **Roll the date forward.** When a tool renews, update the renewal date the same day, before the owner forgets.

## The monthly review

Thirty minutes, the same day each month, with the books open next to it. Annual plans paid in advance are [prepaid expenses](https://lopifi.com/md/glossary/prepaid-expense), so ask whoever keeps the books to confirm that the schedule matches the register's renewal date.

- Sort by notice date and read the next 90 days aloud with the owner of each tool.
- For each, ask: do we still use it, how many people, and what would we lose?
- Add any new charge from the last month's card and bank statements that is not in the register.
- Mark anything with no owner. Assign one or put it on the cancel list.
- For anything you plan to end, follow [cancelling without penalties](https://lopifi.com/md/savings/how-to/cancel-without-penalties).

## Common questions

### Do we need a tool for this?

A sheet is enough. What matters is that one person owns it and that dates in it also exist as reminders in a calendar. Move to a tool when the sheet gets too long to review in a monthly half hour.

### Which date matters most?

Begin with the notice window, not the renewal date. A renewal date tells you when you will be charged; the notice date tells you when you can still do something about it.

### What do we do with the contract itself?

Link to it from the register rather than copying terms into a cell. Record only the five things you act on: term, renewal, notice, price on renewal and how to export. For anything legal, the contract governs.

### What about tools paid for by a personal card?

Put it in the register anyway, with the card it is on. A tool that is not in any report is the usual reason a renewal gets missed.
