Replacing software is a project, and a small company has time for a few at once. The tools worth moving first are the ones with a narrow job, data that leaves in a standard format, nothing else leaning on them and a bill large enough to matter. This guide gives you four questions to rank your list with, in the order that saves the most effort.

## Ask four questions of every line

Start from the ranked list the [free audit](https://lopifi.com/savings/audit) produces, or from your own vendor export. For each line, answer the four questions below. A tool that passes all four is a good first move; one that fails the second or third is a project.

1. **Is the job narrow?.** Can you describe what it does in one clause, such as collecting form responses, sending files or capturing signatures? A narrow job is the best sign a replacement exists.
2. **Does the data leave?.** Can you export your data in a format another tool reads? If the only way out is a screenshot, the move is harder than it looks. See [exporting before you cancel](https://lopifi.com/md/savings/how-to/export-your-data-before-canceling-software).
3. **Does anything depend on it?.** Does anything else read from it or write to it: the ledger, payroll, your website, other tools? Each dependency is part of the move.
4. **Is the bill worth it?.** Is the yearly cost worth the effort, counting the time to move and the cost to run the replacement? The [build or buy calculator](https://lopifi.com/md/tools/build-vs-buy) and the [self-hosting calculator](https://lopifi.com/md/tools/selfhost-cost) take your own numbers.

## Pick the path for the ones that pass

A cheaper plan or a suite you already pay for is the lightest move; see [consolidating into one suite](https://lopifi.com/md/savings/how-to/consolidate-into-one-suite). Open-source software you run yourself moves the bill into hosting and attention; count it in the [honest math](https://lopifi.com/md/savings/how-to/self-hosting-honest-math). A small custom build suits a job so narrow that a few screens cover it; see [building a small internal tool](https://lopifi.com/md/savings/how-to/build-a-small-internal-tool). Whatever the path, the old tool keeps running until the new one has done a real month of work.

## Leave the platforms for last

Large per-license platforms often hold a process the company runs on. Start by right-sizing the seats with [cutting unused seats](https://lopifi.com/md/savings/how-to/cut-unused-seats) and renegotiating at renewal. Replace one only once the narrow tools around it are done and you know exactly what it is used for.

## Common questions

### Should I start with the most expensive tool?

No. Cheap tools with a narrow job can be the easiest to replace and still not worth the effort. Rank by yearly cost times how easy the move is, then start with the top of that list, not the top of either column alone.

### Which tools should I leave alone?

Anything that holds payroll, the ledger, tax or compliance records is a project, not a switch. Narrow the use first (fewer seats, a lower plan) and treat a replacement as a later decision made with your accountant.

### How do I know a replacement is ready?

Run both for a real month of work. The old tool stays on until the new one has handled everything the team actually does with it, and the data is exported and checked before the old account closes.
