What the entries do to the accounts

Every entry above posted to the ledger, starting from zero balances: the net debit or credit each account is left with. Debits equal credits, so the books still balance.

Why it is booked this way

Each swipe is a purchase on credit from the card issuer. The cost belongs to the day it was incurred and the category it bought; the liability builds until the statement is paid.

Paying the statement clears the liability. Reconciling the card account to the statement balance each month is what proves no charge is missing.

Common mistakes

  • Booking the statement payment as one expense line, so a month of spend lands in the wrong month and the wrong category.
  • Treating the card account as a bank account with a negative balance rather than a liability.

Questions

Is a credit card balance a liability?
A liability. The card issuer has paid the merchant and the company owes the issuer until the statement is settled.
Should card charges be booked by statement date or transaction date?
By the transaction date, so each cost lands in the month it was incurred. The statement payment is only a transfer between cash and the liability.
