What it means
A Brex card is a liability of the company, booked as Brex card payable. The founder doesn't owe it personally. Every employee card on the account rolls up into that one liability, so the balance at month end is what the whole company has charged and not yet repaid.
Each charge is booked on the day it's made, to the account that matches what was bought. In the example, the $499 software tool goes to Software subscriptions and the $320 flight goes to Travel, and the card payable rises by $819. The software is a monthly plan, so all of it is that month's expense. An annual plan would go to prepaid expenses instead.
When Brex is repaid from the bank, however often that happens, the entry debits Brex card payable and credits cash. No expense is booked at that point, because the charges already were.
Start with the charges that are missing a receipt, an account or a business reason, and clear that list before you close. Then tie Brex card payable in the books to the balance Brex shows for the same date. A difference usually traces to a charge that was booked twice, one that never came through the feed, or a repayment coded to an expense.
The receipt and memo on each charge are its audit trail. American Express works the same way in the books, with the card payable named for the issuer.
Why it matters. Every card charge needs an account, a receipt and a business reason. Missing receipts are the most common finding in a first review.
Brex isn't a ledger, and we don't connect to it. We work only in QuickBooks Online and Xero. This page covers how Brex shows up in the books kept there.
The entry, worked
The card is charged $499 for a monthly software tool and $320 for a flight to visit a customer.
| Account | Debit | Credit |
|---|---|---|
| Software subscriptions | $499.00 | |
| Travel | $320.00 | |
| Brex card payable | $819.00 | |
| Total | $819.00 | $819.00 |
The spend lands in the month it happened, and the card liability holds it until Brex is paid.
Common questions
Is a Brex card a liability?
Yes. The company owes the balance until it's paid, so it's a current liability on the balance sheet. It doesn't matter that the card is paid in full each cycle.
How do I record paying off my Brex card?
Debit Brex card payable and credit cash. The payment isn't an expense, because the charges already were.
What if an employee loses a receipt?
Write down the vendor, date, amount and business reason, and attach that note to the charge. The IRS expects a receipt for any lodging and for other travel, meal and gift expenses of $75 or more. Below that a written record is enough, but a receipt is still the better support.
