A small company does not need a software strategy. It needs ten jobs done, each by a tool with an owner, an export and a renewal date someone knows. This page lists the jobs, the questions to answer for each, and where our pages and guides help. It does not pick winners.

Each calculator opens on a made-up sample. Type over it with your own figures; nothing you type leaves this tab.
Total software spend turned into a yearly figure, a cost per person and a share of revenue, with what a trim is worth.
Build a small tool or keep paying for one: the cost of each over your horizon and the month the build breaks even.
Arithmetic only, not tax, accounting or legal advice. Check the figures against your own order form.
For each job, write down the tool you use today, the owner, the cost and the renewal date in your vendor register. Then answer the questions. The purchasing rules for new tools are in the software approval policy.
See Dropbox, Box and SharePoint, and the Dropbox migration guide for how a move is sequenced.
See Notion and Confluence.
Email is usually the identity for every other tool, so protect the admin account first. We do not cover an email product page yet; ask the questions of your current plan.
For booking links, see Calendly.
Billing tools touch money and tax. We do not cover a billing product page yet; put them under the same owner, export and renewal rules as everything else.
The books are also where software spend shows up. Start the inventory with find software in QuickBooks Online or find software in Xero.
See Google Analytics.
Run the free audit on your own vendor report to see these ten jobs ranked by what they cost, and read how we get paid if you want help with a replacement. Whether to run something yourself is a separate question; the self-hosting math guide shows how to cost it.
Send us the export and see which lines are worth a second look. A connected version is planned.

Undiscounted, and it leaves out the vendor's price rises and your own overruns. A tool built for one job is not the whole product: list what you would lose before you count the saving.
