Box is hired to do one job: hold company files with admin controls around who can see and share them. Files are among the most portable data a company has, which is why this line is usually worth a look. Below: the replacements we verified, what to settle first, and how to leave without breaking a link a customer uses.
Box is bought for a place to put files that an administrator can control. Over time a company can add shared links for customers, folders an auditor was once given access to, and integrations that file documents on their own. None of it is in the price, and all of it is what makes leaving feel risky.
The contract adds its own stickiness. An annual term with a notice window means the decision is only cheap to act on at certain times of the year, which is why the renewal date goes on the calendar the day you find it.
The files are the easy part. Most of the work in leaving is finding the habits and permissions around them, so we inventory before we recommend anything.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

Each feature below is what the product's own page or README says, linked to where we read it on the date shown. Pros and cons are limited to what those pages state and to what the path itself changes. We do not rank products on quality.
Box is hired to hold company files with admin controls around them. The files are portable. The controls are the part to look at: who can share outside, who can see what, and what an auditor can be shown. A replacement has to do each of those jobs the company actually uses, not all the jobs the product can do.
Running software yourself trades a license fee for a server, backups and attention. If nobody at the company wants that job, a hosted provider of the same open-source software, or staying put, can be the right answer.
Samples are made up and are not Box's prices. Type in the figures from your own invoice or order form.
The honest yearly cost of running open-source software yourself, set against the bill it replaces, with the seat count where it stops paying.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.

Moving file storage is mostly inventory and checking. In outline:
Count files and gigabytes. List shared links, external collaborators and every integration that reads or writes files. Note any folder under a retention rule or legal hold.
Decide where the files will live and who administers it. If the answer is a server you run, name the person who patches and backs it up.
Move one team's folder first. Open it the way that team really works, including sharing a link with someone outside the company, before moving anyone else.
Copy everything across, then compare file counts and total size on both sides. Spot-check a sample of large files and old files by opening them.
Rebuild the permissions on the new side from the inventory. Folder access and external sharing do not come across automatically, so test each group with a person who belongs to it.
Announce the date, set the Box account to read-only, repoint integrations, and re-share external links from the new home.
Wait a full month of normal use. Keep a complete export in storage you control. Then end the plan inside the contract's notice window and keep the confirmation.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

Send us the export and see which lines are worth a second look. A connected version is planned. Box is one of the lines worth a look.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.
