Dropbox is hired to do one job: keep a shared set of files in sync and shareable. That job is the most portable in software, which is why it is usually the first line we look at. Below: what the plans cost as published, the realistic replacements, and the procedure for leaving without breaking anything a customer links to.
It starts as one person's folder and becomes the company's filing cabinet. Years of links, a scanner that saves to a folder, a contractor who knows where everything is: none of it is in the contract, and all of it is what makes leaving feel risky.
The files themselves are the easy part. Most of the work in leaving is finding and moving the habits around them, which is why we inventory before we recommend anything.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

List prices as printed on the vendors' pages on the checked date, per month and excluding tax. Promotions, yearly billing and what a plan includes can differ at checkout. Google's page showed a limited-time introductory discount for new customers; it is left out here.
File storage is the easiest software job to hand to another product because the data is files and the formats are standard. The decision is rarely about the files. It is about the habits around them: the shared links, the folder names people type from memory, the scanner that saves to a folder.
Samples are made up and are not Dropbox's prices. Type in the figures from your own invoice or order form.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.
What paying a year up front really costs: the premium for monthly, the break-even month and the interest rate the discount works out to.
Arithmetic only, not tax, accounting or legal advice. Check the figures against your own order form.
The full procedure, with the checks and the cutover plan, is in the Dropbox migration guide. In outline:
Count files and gigabytes, list the shared links and folders people outside the company use, and note every integration that writes into it.
Pick the destination and move one team's folder first. Open it the way the team really works before moving anyone else.
Copy everything across. Compare file counts and total size on both sides. A command-line tool such as rclone, which lists Dropbox as a supported backend and has a rclone check command, can do the copy and the comparison if an engineer prefers to script it.
Tell people the date, set the old account to read-only, move the integrations, and re-share the external links from the new home.
Wait a full month, keep an export, then end the plan inside the contract's notice window.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

Send us the export and see which lines are worth a second look. A connected version is planned. Dropbox is one of the lines worth a look.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.

Paying 905.00 more on day one saves the other eleven monthly bills. The discount is worth that much a year on the cash you hand over early. If your cash earns or costs you less than this, annual wins, as long as you will use the tool all year.

| 12 | 1,140.00 | 1,000.00 | Annual |
Assumes the monthly plan bills at the start of each month and the annual plan does not refund. Check your order form for both.
