RingCentral is hired to give a company business phone numbers, messaging and meetings through one subscription. Replacing it is rarely about the license. It is about the numbers customers dial and the call flows built on them. Below: what to count first, the open-source option we verified for meetings, and how to move without missing a call.
The phone number is the company's address to its customers. Once call routing, a receptionist flow and voicemail are built on it, no one wants to touch it.
Three jobs under one bill also hides what each costs. Splitting calling, messaging and meetings often shows that two of them are paid for twice in other suites.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

Each feature below is what the product's own page or README says, linked to where we read it on the date shown. Pros and cons are limited to what those pages state and to what the path itself changes. We do not rank products on quality.
A business phone subscription bundles three jobs: calling, messaging and meetings. They do not have to move together. The easiest piece is meetings and chat, where a team may already pay for the same job elsewhere. The phone numbers are the hard piece, because customers dial them.
Jitsi Meet is the open-source option we verified, listed under the Apache-2.0 license on the checked date. Its README describes video meetings, not a phone system, so it speaks only to the meetings part of this job. We found no verified open-source option for a business phone line and say so rather than guess. We rate this hard: replacing calling is a project that touches numbers customers use, and it is moved last and in stages.
Samples are made up and are not RingCentral's prices. Type in the figures from your own invoice or order form.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.
What paying a year up front really costs: the premium for monthly, the break-even month and the interest rate the discount works out to.

Start from the numbers and the call flows. The move is finished when calls ring in the new place and the contract has ended.
List every number, extension, queue, auto attendant and forwarding rule, and who owns each. Pull usage for a month to see who calls, messages and meets.
Decide the three jobs separately: calling, messaging and meetings. Meetings and chat can move first; calling moves last.
Choose the replacement per job and name who administers it. Check where recordings and messages will be stored, since they can hold personal data.
Move a small group first and have them place and answer real calls for a week, including after-hours routing and voicemail.
Move numbers on a date agreed in writing with both providers. Keep the old service running until the new one is confirmed answering.
Export records you must keep, wait a full month, then end the plan inside the notice window and confirm the end in writing.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

Send us the export and see which lines are worth a second look. A connected version is planned. RingCentral is one of the lines worth a look.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.

Paying 905.00 more on day one saves the other eleven monthly bills. The discount is worth that much a year on the cash you hand over early. If your cash earns or costs you less than this, annual wins, as long as you will use the tool all year.
