American Express in your books

Amex issues both charge cards, paid in full each month, and credit cards. Either way, the balance is a liability until it's paid.

What it means

Each Amex account becomes a liability on the balance sheet, usually named Credit card payable – Amex. Charges add to it and payments take it down. That holds for both kinds of card Amex issues. A charge card's balance is generally due in full each statement, but on any month end there's still an unpaid balance, and the company owes it.

In the March example, the $840 flight goes to Travel and the $160 lunch goes to Meals, each on the day it was charged. The card liability rises to $1,000. March's income statement shows $1,000 of spending even though no cash has left the bank yet.

In April the bank pays the $1,000 statement. That entry debits the card payable and credits cash, and it touches no expense account. If a credit card carries a balance and Amex adds interest, the interest is its own expense, kept apart from the spending it was charged on.

Statements rarely close on the last day of the month, so the charge date decides the month, not the statement. Tie the card payable in the books to the statement balance as of its closing date. Charges made between that date and month end should already be in the books too, from the card's recent activity.

A balance that won't tie usually means a charge is missing, a charge was booked twice, or a payment was coded as an expense.

This is accrual basis bookkeeping in its simplest form: the cost lands when it's incurred, not when it's paid. Brex and Visa cards follow the same pattern.

Why it matters. Paying the statement isn't an expense, because the charges already were. Book spend when you pay the bill and every month's costs land in the following month.

American Express isn't a ledger, and we don't connect to it. We work only in QuickBooks Online and Xero. This page covers how American Express shows up in the books kept there.

The entry, worked

The Amex card is charged $840 for a conference flight and $160 for a team lunch in March. The statement is paid in April.

Booking Amex charges when they're madeBalanced
AccountDebitCredit
Travel$840.00
Meals$160.00
Credit card payable – Amex$1,000.00
Total$1,000.00$1,000.00

March carries the spend. April's $1,000 payment then debits the card payable and credits cash, with no expense.

Common questions

How do I record an American Express payment?

Debit the card payable and credit cash. The expenses were already booked when the charges were made.

Is an Amex charge card a liability if I pay it in full every month?

Yes. Between the charge and the payment the company owes the balance, so at any month end it belongs on the balance sheet.

How do I record the Amex annual card fee?

It's a cost of having the card, so it goes to bank fees or a card fees account. A large annual fee can be booked as a prepaid and spread over the 12 months it covers, if it's above the prepaid threshold in your written policy.
