What it means

Claude is an AI assistant, and nothing in your books runs through it. The subscription is a software expense like any other. Its role sits around the ledger: drafting a policy memo, reading a contract to pull out the term and price, explaining why a cost moved, or writing analysis code.

A model can read a 12-month contract and sketch the deferred revenue schedule, or suggest an account for a vendor it hasn't seen before. That saves real time on drafting.

It only knows what you show it. It can't see the bank, it doesn't remember last month's decisions unless they're written down, and it can state a wrong figure with complete confidence. Whatever it drafts should be checked against the source document and posted inside rules that make entries balance, keep closed months locked and record a reason. A CPA reviews the result.

Use it on finished numbers. Once the books are reconciled and closed, it can draft the notes on why expenses rose or fell from last month. Every figure it quotes should trace back to the ledger in QuickBooks Online or Xero. If you need a balance, read it from the reconciled trial balance rather than asking for it.

A reason recorded on each entry is part of the audit trail, and CPA review is the check on anything a model drafts. Cursor and GitHub cover the code side.

Why it matters. Asking a chat model to keep your books means trusting it to remember every rule, every month. Accuracy has to come from the system around it.

Claude isn't a ledger, and we don't connect to it. We work only in QuickBooks Online and Xero. This page covers how Claude shows up in the books kept there.

Common questions

Can AI do my bookkeeping?

It can propose entries and do much of the routine work. It needs to run inside rules that force entries to balance, keep closed months locked and record a reason for each decision, with a CPA reviewing the result.

Should I trust a number an AI assistant gives me?

Only if you can trace it to an entry in reconciled books. A figure with no source is a guess.

Is it safe to give an AI assistant my financial data?

Share only what the task needs, on a business plan whose terms say what happens to your inputs. Never paste bank logins, full account numbers or employees' Social Security numbers into a chat.
