What it means
Google Sheets is a spreadsheet, and once the books move into QuickBooks Online or Xero it should stop being the books. No money moves through it. What it's good for is everything built on the ledger's numbers: the financial model, the budget, a forecast, or a workpaper that supports a schedule.
A ledger forces every entry to balance, locks a month once it's reported and records who changed what. A sheet does none of that. One overwritten cell can change last quarter's revenue, and nothing flags it.
Spreadsheet books also tend to be cash basis: money in, money out. That can't show what customers owe you, what you owe vendors, or revenue you've been paid for but haven't earned. Investors expect accrual financials, and those need a real ledger.
After the close, refresh the model's actuals from reports exported out of the ledger rather than typing them in. Then check that the actuals column matches the P&L for the month to the dollar. If it doesn't, find out why before the model is used for a forecast.
The 13-week cash flow forecast is a good use of a sheet. The accrual basis explains what spreadsheet books usually miss. Airtable has the same limits as a ledger.
Why it matters. Sheets is great for models and analysis. As a ledger it has no period lock, no audit trail, and nothing that forces debits to equal credits.
Google Sheets isn't a ledger, and we don't connect to it. We work only in QuickBooks Online and Xero. This page covers how Google Sheets shows up in the books kept there.
Common questions
Can I keep my startup's books in Google Sheets?
You can track numbers there, but it isn't a ledger. Investors and CPAs expect double entry, reconciled accounts and locked periods.
When should I move from a spreadsheet to accounting software?
Before you raise, hire your first employees or file a return that depends on the numbers. For most startups, that's now.
Can I still use spreadsheets for close workpapers?
Yes, for workpapers: a prepaid schedule, an accrual calculation or a reconciliation. Each one should tie its total to the ledger balance it supports and be saved with the month it belongs to.
