Zendesk is hired to track customer support requests from arrival to answer. The software job is well understood, which makes it a fair candidate to move, as long as the ticket history and the support address come along.
Support tools collect history. Years of tickets are how an agent knows what happened with a customer, so the archive makes the subscription feel essential even when the team has shrunk.
The support address and help-center links sit in customers' inboxes and on your website. Nobody wants to be the person who broke the way customers reach the company.
Plans are priced per agent and sometimes per usage, so the bill drifts as the team and the add-ons change.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

List prices as printed on the vendor's page on the checked date, in US dollars per agent per month and excluding tax. The page's structured data listed USD but the displayed prices did not state a currency. Usage-based charges beyond plan allowances apply to some features. Prices may differ at checkout.
The job is to give every customer message an owner and a history. For a small team that can be done with a lot less than a full suite, and it is worth checking the plan against how the team really works.
Moving is mostly about the history and the front door. Customers should never notice a change in where to write, and agents should find the old tickets when a customer returns.
Samples are made up and are not Zendesk's prices. Type in the figures from your own invoice or order form.
The honest yearly cost of running open-source software yourself, set against the bill it replaces, with the seat count where it stops paying.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.
Arithmetic only, not tax, accounting or legal advice. Check the figures against your own order form.
Move the front door and the history, and cancel only after a quiet month.
List agents, channels, macros, automations, forms and any integration that creates tickets. Count open and closed tickets.
Decide how much history needs to move. Open tickets always do; closed ones may be archived as files if nobody searches them.
Import a copy into a test instance and compare ticket counts. Open a sample of old tickets and check replies, requesters and attachments.
Rebuild the few macros and automations that agents use daily, and nothing else yet.
Point the support address, web form and any widget at the new system, and send a test message through each.
Freeze the old system to read-only, move the open tickets, and tell agents the date.
After a quiet month, keep a final export, end the subscription inside the notice window and keep the confirmation.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.
