SendGrid is hired to send email on a company's behalf, either as system mail through an API or SMTP, or as marketing campaigns. It is a plumbing line: invisible until it breaks. Below: published prices, the realistic replacements, and a staged procedure for moving without landing in spam.
Nobody revisits email delivery while it works. An API key was pasted into three systems years ago, and a template was edited by someone who has left.
The cost is not in the plan; it is in the unknown list of things that send through it. Finding that list is the first half of the work.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

List prices as printed on the vendors' pages on the checked date, excluding tax. SendGrid prints starting prices and says the exact price depends on volume and features. Amazon's pay-as-you-go items are metered and other AWS services are billed separately.
Sending email is two jobs under one name. System mail is a connection setting in code, and moving it is an engineering task. Campaigns are a marketing workflow with lists, templates and unsubscribe handling. A replacement for one is often not a replacement for the other, so settle which of the two your bill is really for.
Deliverability is the risk. A new sender has no history, so volume is moved in stages.
Samples are made up and are not SendGrid's prices. Type in the figures from your own invoice or order form.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.
What paying a year up front really costs: the premium for monthly, the break-even month and the interest rate the discount works out to.
Arithmetic only, not tax, accounting or legal advice. Check the figures against your own order form.
In outline:
List every service that sends through the account: application code, the billing system, the help desk, any marketing tool. Check API keys and SMTP credentials, and note the volume.
Set up the new provider, add its DNS authentication records for the sending domain next to the existing ones, and send test mail to several mailbox providers.
Rebuild the templates you use and carry over the suppression lists before the first real send.
Point one low-risk stream at the new provider, watch bounces and complaints, then move the rest in steps.
Revoke the old API keys, keep the account read-only until the last export is verified, then end the plan inside the contract's notice window.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

Send us the export and see which lines are worth a second look. A connected version is planned. SendGrid is one of the lines worth a look.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.

Paying 905.00 more on day one saves the other eleven monthly bills. The discount is worth that much a year on the cash you hand over early. If your cash earns or costs you less than this, annual wins, as long as you will use the tool all year.

| 12 | 1,140.00 | 1,000.00 | Annual |
Assumes the monthly plan bills at the start of each month and the annual plan does not refund. Check your order form for both.
