Loom is hired to record a screen and share it as a link. Recording is routine; the part to plan is where the finished videos live and who can open them. Below: the published plans, a recorder you can run yourself, and the steps for leaving without breaking links people still use.
It spreads one person at a time. Someone records a walkthrough, the link goes into a ticket or a handbook, and the seat count creeps up as more people find it useful.
What keeps it in place is the library of links more than the recording itself. That is the part to inventory before deciding anything.
Only alternatives we have checked. An open-source project is listed with the license its repository reports, on the date shown; one whose license could not be read as a single standard id is not offered as open source. Read the license guide before running any of them.

List prices as printed on Loom's page on the checked date, per user per month. Monthly plans are billed on the number of users for the following month; annual plans are billed at the tier closest to your user count. Taxes and promotions are not included.
The job has three parts: capture the screen, host the file, and give someone a link. Recording is easy to replace. Hosting and the link are where the work is, because the replacement has to be somewhere your company already controls access.
Samples are made up and are not Loom's prices. Type in the figures from your own invoice or order form.
Paid seats against seats in use: what the idle ones cost a year, and what you save by right-sizing at renewal.
What paying a year up front really costs: the premium for monthly, the break-even month and the interest rate the discount works out to.
Arithmetic only, not tax, accounting or legal advice. Check the figures against your own order form.
In outline:
Export a list of who records, how many videos exist, and which ones are linked from documents, tickets or emails.
Decide where finished videos will live, who can open them, and how a link is shared. Use storage the company already pays for and controls.
Have two or three regular recorders use the replacement for a week and say what was missing: a transcript, a quick link, a comment.
Download the videos worth keeping, re-upload them, and replace the old links in the documents that matter.
Keep an export for a month, then end the plan inside the contract's notice window.
Run the vendor report for QuickBooks Online or Xero, then open the free audit.

Send us the export and see which lines are worth a second look. A connected version is planned. Loom is one of the lines worth a look.

“In use” is your call: last sign-in in the past 30 or 90 days from the vendor's admin report. A seat for someone on leave is not idle.

Paying 905.00 more on day one saves the other eleven monthly bills. The discount is worth that much a year on the cash you hand over early. If your cash earns or costs you less than this, annual wins, as long as you will use the tool all year.
